Notice for the UV 2018 AGM

Ultimate Victoria wishes to officially give notice of their 2018 Annual General Meeting which will take place at Melbourne Sports and Aquatic Centre, Aughtie Drive, Albert Park on Wednesday October 31st, 2018, commencing at 6:30pm.

The following business will take place at the meeting:

  1. Welcome
  2. Acceptance of minutes from previous AGM
  3. President’s Report
  4. Treasurer’s Report
  5. Special resolution

To amend the association rules with the following change:

CURRENT

Rule 41 Composition of Board

The Board consists of—

(a) a President; and

(b) a Vice-President; and

(c) a Secretary; and

(d) a Treasurer; and

(e) ordinary Directors (if any) elected under rule 49.

 NEW

Rule 41 Composition of Board

1 The Board consists of—

(a) a President; and

(b) a Vice-President; and

(c) a Secretary; and

(d) a Treasurer; and

(e) ordinary Directors (if any) elected under rule 49.

2 The Board must consist of a minimum of 40% self-identified females across elected and appointed roles.

    • Open discussion on the strategic direction of ultimate in Victoria and the Ultimate Victoria organisation.

Quorum

Quorum requires at least 30 members be present in accordance with rule 33 of the association rules. Proxies are allowed under rule 31 of the association rules. If submitted electronically they must be received at least 24 hours in advance.

Nominate for a committee position

If you wish to nominate for a committee position, please read the following (from Rule 48 of the association rules)

An eligible member of the Association may—
(a) nominate himself or herself; or
(b) with the member’s consent, be nominated by another member.

A member who is nominated for a position and fails to be elected to that position may be nominated for any other position for which an election is yet to be held.

The Chairperson of the meeting must declare all positions on the Board vacant and hold elections for those positions in accordance with rules 48 to 51 of the current association rules.

Affiliated clubs

All affiliated clubs are expected to have at least one attendee as per the UV Club Affiliation Policy.  If you’re from a non-metropolitan club please contact us (admin [at] ultimatevictoria.com.au). We are not expecting people to drive long distances for the AGM but we would like to bring up any issues or feedback you have up during general business.

Proxies

Proxies are allowed under section 31 of the constitution, and we will need proxies to make quorum. Quorum for the meeting is 30 people so please organise some proxies if you can. Proxies must be nominated in writing to admin [at] ultimatevictoria.com.au at least 24 hours prior to the meeting.
